Wedding Planning

As wedding planners, we assist couples with organising, co-ordinating, and executing the vision of their wedding day. We handle all aspects of planning, from logistics to design, to create a smooth, stress-free experience for our clients. 

Here’s a breakdown of some of what we typically do:


 1. Initial Consultation and 
Budget Planning

 

Understanding the Couple’s Vision: In our first meeting, we will discuss the couple’s vision, style preferences, and budget. We will provide advice on how to make you vision achievable within your budget.

Budget Management:  We will help establish a detailed budget, allocate funds to different aspects of the wedding, and ensure expenditures stay within limits.

 

2. Venue Selection and Vendor Coordination

Venue Research and Booking: We will present venue options that align with the couple's style, budget, and capacity requirements. We manage all the negotiations and paperwork.

Hiring Vendors: We have a network of trusted vendors, such as caterers, florists, photographers, and DJs, and we recommend options that fit the couple’s needs. We handle all vendor contracts and scheduling, acting as the main point of contact.

3. Design and Styling

Theme Development: We assist with creating an aesthetic that reflects the couple’s taste, whether it’s rustic, modern, classic, or eclectic.

Decor and Styling: We co-ordinate decor details such as floral arrangements, table settings, lighting, and other elements that bring the vision to life. We work with designers to execute elaborate setups.

4. Timeline and Logistics

Developing a Timeline: A detailed timeline is crucial to keep the wedding day on track. We establish a schedule for the entire day, from the ceremony to the reception, and make sure all vendors and participants are aware of it.

Managing Logistics: We arrange all logistical elements, like guest transportation, setup, teardown, and guest accommodations, ensuring nothing is overlooked.


5. Guest management

Guest management, guidance on collation and tracking of
 RSVPs, dietary requirements etc


6. 1:1 Communication 

Regular progress emails, phone calls and face to face meetings to support you throughout
 
7. Day-of Coordination

 

On-Site Management: On the wedding day, we are on-site to oversee everything, handling any issues that arise and ensuring the couple and their guests have a seamless experience.

Problem-Solving: We act as trouble shooters, dealing with unexpected challenges such as last-minute weather changes or vendor issues to keep the day on track.

8. Post-Wedding Follow-Up

Vendor Payments and Thank-You's: After the wedding, we help finalise outstanding payments and even send thank-you notes to vendors if needed.

Pricing,

 10 – 15% of your wedding budget with a 

minimum fee applied. Minimum fees can vary depending on the year, location and Staffing required.

You can expect to pay between £5,500 – £14,999 (estimated values - this will be fully quoted after your initial al consultation). 

Please Note - Beloved Weddings is not liable for Bridal or Grooms Attire/wedding rings or

 honeymoons. 

Your assigned wedding planner will of course be on hand to help source these items, but items will down to the clients to pay separately  and store. 

Wedding - Day of Co-Ordination

Our wedding day coordinator service 
ensure's that all the elements of your 
wedding day come together smoothly. 
Unlike our full-service wedding planning, our day-of coordinators will join the 
planning process closer to your wedding date (often 6-8 weeks before) to finalise details and oversee logistics on the big day. Here’s what their role includes:

1. Pre-Wedding Preparation

Final Consultation with the couple: 6-8 weeks before the wedding, your coordinator meets with you to review all your plans in detail, gather contact information for vendors, and confirm timelines.

2.Vendor Coordination: 

We reach out to all vendors to introduce ourselves, review contracts, and confirm arrival times, responsibilities, and any special requests.

3. Detailed Timeline Creation:

 Your coordinator develops a detailed timeline covering the entire day—from setup and ceremony timing to the reception and teardown—and will share it with you, vendors, and any other required members of your wedding party.

4. Rehearsal Coordination: 
Our coordinators will also manage the wedding rehearsal for you, helping with ceremony flow, timing, and where everyone needs to be, so the wedding party feels comfortable and confident.

 

5. Wedding Day Responsibilities

On-Site Management: Your coordinator will arrive early to oversee the setup, ensuring every detail aligns with your vision, from decor placement to seating arrangements.

6.Vendor and Timeline 
Coordination: 
Acting as the main point of contact, your coordinator directs all vendors and ensures they follow the timeline. They manage arrivals, setup, and troubleshoot any issues that arise.

7. Guest and Wedding Party
 Assistance: 

Your coordinator helps guests and the wedding party with directions, seating, and any last-minute needs. They will ensure everyone knows where to be and when, including cueing the wedding party and musicians for the ceremony.

8.Problem-Solving and
 Crisis Management:

 Our Day-of coordinators are yours and your guests go-to person for any unexpected situations, such as  seating mix-ups, late arrivals, weather changes, vendors cancellations and much more, resolving them quietly to keep the event on track.
9. Orchestrating the 
Flow of Events: 

We will guide you and guests through the timeline, making sure that key moments like toasts, cake cutting, and first dances happen seamlessly.

10. End-of-Event Wrap-Up

Overseeing Tear Down: Your 
coordinator supervises the breakdown of the event, making sure
 rented items are returned, personal belongings are collected, and the venue is left in proper condition.

11. Final Touches: 
Before departing,

 they often check in with the couple to ensure satisfaction and confirm any remaining details, like vendor payments or post-event pickups.


In short, your wedding day coordinator acts as your event manager,” taking care of every detail so you, your family, and your guests can relax and enjoy the celebration without worrying about logistics or interruptions

You can expect to pay fees in the region of £999 – £2500 
depending on the service you require.
